1. Trade Assurance trade section updates

This program contains five sections: application, order management, fund management, shipment center and assurance/dispute, with the differences between Malaysia GGS and CGS TA highlighted.


1.1 Order placing& management
Differences between Malaysia GGS and CGS in order placing page.

shipment on specific day: can not exceed the max, 180 days; 
relative shipment date: can not choose the time period longer than 180 days.

1.2 Fund management

1) Generate MY T/T account

① The only T/T account is generated after order placed between buyer and supplier, started with 7790

② Rules to generate 7790 T/T account: 
supplier has GGS Malay account + buyer has email address + order placed successfully

2) Fund receipt 
Buyer wires to the designated T/T account and the seller finished order-payment linking after fund arrives.

3) Order-payment linking
①  An order could be linked to multiple payments and multiple orders could be linked to the same payment

② New rule: the payment, if still not linked to order in 14 days after received, will be returned automatically

•          The payment should be linked in 14 days after received, or will be returned automatically if unlinked;

•          If the linking  is to expire soon or already expired, both buyer and seller will be sent notification emails;

•          If the fund only partially linked, only the part unlinked will be returned;

4)T/T refund

① After the buyer opens a dispute and reaches refund agreement with the supplier, money will be deducted from seller's Onetouch account and payment returned to Citibank;

② If the balance in seller's account is insufficient to refund, Onetouch will create a payment sheet and the refund result 'failure' shows

3. FAQ

Q1: Who can apply to be an Alibaba.com Trade Assurance supplier?

A:You can apply to be an Alibaba.com Trade Assurance supplier if you meet the following requirements:

• Your Alibaba.com account is registered in Malaysia

• Your Alibaba.com account has Gold Supplier membership

You must log in to your Alibaba.com admin account to apply. You can apply from 2018.2.28. 

Q2: How do I get an Alibaba.com Trade Assurance Limit Amount?

A:After submitting your application, we will authorize the Trade Assurance Limit Amount for you according to your company's information and previous trade records. If you are a KA member, then you will get a Trade Assurance Limit Amount of US $30,000 at the beginning. 

Q3: What can I do if my order amount is larger than my remaining Trade Assurance Limit Amount?

A:  Complete previous orders to release more of your Trade Assurance Limit Amount funds.

Q4: Does Trade Assurance cost anything for the supplier?

A:  No, it is free for the supplier.

Q5: How do I draft a Trade Assurance order?

A: 

Step 1: Log in to "My Alibaba" with your Alibaba.com account.

Step 2: Select your account member type as "Sell" in the top left corner.

Step 3: Click the "Orders" section in the left column.

Step 4: Click "Draft Trade Assurance Order" in the top right corner.

Step 5: Enter the contract terms:

1) Buyer's information

2) Product information

3) Shipment terms: including but not limited to shipment method, shipment date, and export method declaration

For the shipment date:

a. If you choose "Ship on a special day (PDT)", you can choose a date no later than 180 days after the day you receive the payment

b. If you choose "(X) day(s) after the supplier receives payment", then the date cannot be later than 180 days after the day you receive the payment

4) Payment terms:
    

a. The total order amount and the initial payment must be larger than US $1
     

b. The order amount can only be calculated in US $ 

c. Currently, the buyer can pay by T/T (bank transfer) only

5) Complete any other relevant information if you have any extra agreements with the buyer

Q6:How do I associate the payment with the order?

A:There are 2 ways to associate the payment with the order: 

Method 1: associate orders from the "Funds Management" section

Step 1: Log in to "My Alibaba" with your Alibaba.com account.

Step 2: Select the "Funds Management" section in the left column, then click "Forex Order Match" in the pop-up window.

Step 3: Locate the payment records in the "To be associated records" section.

Step 4: Click the "Associate Order" button and another pop-up window will open.

Step 5: In the pop-up window, select the order that you want to associate and click the "Confirm" button.

Step 6: Set the conversion ratio and submit.

Method 2: associate funds from the "Order Details" page

Step 1: Log in to "My Alibaba" with your Alibaba.com account.

Step 2: Select the "Trade Assurance Order Management" section in the left column, then click "All Orders" in the pop-up window.  

Step 3: Locate your orders with the "Waiting for payment" status and click the "Associate Order" button. Alternatively, click the "View More" button to open the order details page and associate the payment there.

Step 4: Select the payment and click "Confirm" to submit.

Q7: When do payments need to be associated with orders?

A: All payments need to be associated with the order within 14 calendar days after they have arrived in the supplier's Citibank account.

Q8: How do I ship orders and complete customs clearance?

A: 

Step 1: Log in to "My Alibaba" with your Alibaba.com account.

Step 2: Select the "Trade Assurance Order Management" section in left column, then click "All Orders".

Step 3: Locate your orders with the "Waiting for shipment" status and click the "Ship now" button. Alternatively, click the "View More" button to open the order details page, then click the "Ship order now" button.

Step 4: Search for a logistics solution. Enter your logistics requirements, include the following:  

• Departure port 

• Destination port

• Gross volume

Then click "Search".


If there are logistics solutions available, then continue as below: 

1): Book the logistics solution. Choose the delivery method and click the "Booking" button to book your shipment.

2): Enter the commodity information.        

3): Enter the shipper/consignee information.
           

4): The next page will appear as below:

If you haven’t already authorized Transcargo Worldwide (M) Sdn Bhd to complete the export customs declaration, then you need to click the first red button to download the authorization form. Have the appropriate member of your company sign the form, then email it to: [email protected]. If you have already done this, then please ignore this step. 

5): The logistics company will contact you directly to confirm the export customs clearance and shipment procedure. The order status will be updated automatically according to the shipping process.

If there are no logistics solutions available, then Alibaba.com cannot support your shipment. You will need to book your order shipment with an alternative company and ship the order yourself. Continue as below:

1): Click the "Click here" hyperlink in the logistics solutions search results page.

2): In the next page, enter the export customs declaration information.

Alibaba.com's partner will contact you directly to finish the export customs declaration for you, but you will need to ship the order yourself. 

3): After you finish the export customs declaration, upload the shipment details.

Q9: Can I ship the order myself?

A: You can only ship the order yourself if you cannot find a logistics solution on Alibaba.com, but you must also upload the shipping documents to Alibaba.com.

If logistics solutions are available on Alibaba.com's logistics solutions search page, then you must use the Alibaba.com logistics service.

Q10: Can I complete the export customs clearance myself?

A: No, you must authorize Alibaba.com or our partner to complete the export customs clearance.

Q11: When do I need to ship the order?

A: You can negotiate the shipment date with the buyer, but it cannot exceed 180 days after the date that the payment arrives in your Citibank account.

Q12: When will the frozen funds be released to me?

A: If your remaining Trade Assurance Limit Amount is less than your order payment amount, then we will release the frozen funds when you ship the order. 

If your remaining Trade Assurance Limit Amount is larger than your order payment amount, then we will not freeze your order funds. 

Q13: What guarantees does Trade Assurance offer to buyers?

A: The buyer can apply for a full refund if the received goods are not consistent with the contract, or the supplier fails to ship on time.

Q14: If the buyer complains that the received goods are not consistent with the contract and applies for a refund, how will Alibaba.com verify the complaint?

A: Alibaba.com requires the buyer to provide valid evidence (such as photos, videos, third-party inspection reports, etc.) to verify that the received goods are not consistent with the contract.
